Position Title: Bingo Coordinator
Type: Volunteer (Performance-Based Stipend Available)
Reports To: Board of Directors / Executive Director
Location: On-site / Hybrid (Initial planning & coordination can be done remotely; event management is on-site)
Position Overview
We are seeking an organized, proactive, and community-minded Bingo Coordinator to lead the launch and ongoing execution of our non-profit bingo program. This role is responsible for taking the program from concept to reality—handling initial logistics, vendor outreach, equipment sourcing, and weekly/monthly event operations.
This is initially a volunteer position, with a performance-based stipend paid out periodically based on the net profit and success of the bingo games.
Key Responsibilities
1. Program Setup & Operations
- Research and identify suitable local venues/spaces to host regular bingo events (ensuring proper capacity, accessibility, and seating).
- Assist leadership in reviewing local municipal and state gaming licensing requirements.
- Develop event schedules, volunteer rosters, and operational workflows for game nights.
2. Procurement & Vendor Management
- Bingo Supplies: Research, compare, and present pricing options for core supplies (bingo cards, daubers, electronic/manual blowers, boards, and raffle materials).
- Concessions & Catering: Solicit, review, and negotiate vendor quotes for food, snacks, and beverages to maximize profit margins while offering good quality to attendees.
- Track inventory of all gaming and food supplies, initiating reorders as needed.
3. Event Day Execution
- Oversee event setup, including tables, calling equipment, concession stands, and bank/cash stations.
- Coordinate game-day volunteers (callers, cashiers, floor runners, setup/cleanup crew).
- Ensure smooth, fair play and a welcoming, fun environment for all participants.
- Manage post-event teardown and financial reconciliation alongside designated board members or treasurers.
Qualifications
- Prior experience with event coordination, non-profit fundraising, or gaming/bingo operations is a plus (but not required).
- Strong organizational, communication, and negotiation skills.
- Basic financial literacy and budgeting skills (handling vendor quotes, cost analysis, and cash management).
- Ability to work independently to kickstart new initiatives.
- High integrity and attention to detail, especially regarding gaming compliance and cash handling.
Compensation & Commitment
- Type: Volunteer position.
- Stipend Structure: A tiered or percentage-based stipend will be awarded periodically, directly tied to the net profitability of the bingo operations. Specific terms and payout schedules will be finalized upon launch.
- Hours: Flexible during initial setup phase (~5–10 hours/week). Transition to regular event schedule once games commence.
